Restricting access to uploaded documents
Facilitr provides the ability to restrict permissions at a user level for documents through the web application only, here are some common questions you may have:
- In what ways can I restrict documents?
You will be able to set one of three permission levels for a document as follows:- All users who have access to facility can view this document (Default)
- Only I can view this document
- Let me select the users that can view this document (You will be displayed a searchable multi-select dropdown to select the users that can view it, by default you are always given permission)
- What about all the documents that are currently uploaded to the system?
All the documents that are currently uploaded to Facilitr are set to be viewable by all users - How do I restrict an existing document to only be viewed by certain people?
Navigate to the documents by clicking on View button, then select Documents or by either searching for it on the Documents tab from home page and click edit, there you will be able to change the permissions of a document. - I am on the edit document page, but I do not see the options to select document security?
Only the original uploader has the rights to change the documents permissions - What happens if a document was uploaded by someone who is no longer an employee, how do I get permission to that document?
Contact your account representative, and they will help reassign ownership for all the documents owned by someone who has left the organization. - Users are able to see the document on their list even though I said only I can see it (or select users can see it)?
All users will be able to see that there was a document uploaded and what type, this is to prevent people from duplicating efforts. HOWEVER if they click on the document to view it and do not have permissions they will not be able to view the contents of the document. - I am a user that has access to Email Center, does this affect my ability to send out documents?
Yes. You will only be able to send documents that you are able to view. - I am trying to upload a document from the mobile app, where do I set the permissions?
We are working on a revision of the app for you to be able to include permissions when you upload from the app. Currently the only way to do it is to jump on a computer when you have time and search for the document you uploaded and click edit. There you will be able to assign the document security permissions.
